Exporting Reports from a Power BI App to PDF. From BI capabilities to the business gap!
Executives don’t always have time to open dashboards and explore data. They need insights in a format that is immediate, familiar, and easy to share even with externals or print.
That’s why Power BI allows you to export reports directly into the formats people already use every day, PDF, PowerPoint, and Excel.
Why This Matters
Different audiences consume information differently:
PDF is ideal for static sharing with stakeholders.
PowerPoint fits naturally into business presentations.
Excel enables deeper analysis and ad-hoc exploration.
In many cases, this flexibility is exactly what teams need to move fast and communicate effectively.
But Here’s the Real Question
If users consistently rely on exports to work with data outside Power BI, it may indicate a deeper gap.
Sometimes, these built-in export options are sufficient to meet immediate needs, inculding sharing a report, distributing a file, or supporting a presentation. However, stepping back raises a more fundamental question. Are we simply exporting reports, or are we enabling intelligent data-driven decisions? If users consistently rely on exports to work with data outside Power BI, it may indicate a deeper gap. The solution is not yet fully embedded into the way people actually operate and make decisions.
Live vs Report Snapshot
When exporting to PowerPoint, Power BI gives you an important option. You can embed it into a presentation or take a snapshot of it. That capability refers to PowerPoint exports and not the pdf ones.
With Embed live data, the Power BI report remains connected to the Power BI Service, allowing you to interact with and refresh the report directly from PowerPoint.
By Unchecking the "Embed live data", the Power BI exports a static snapshot of the report pages at that moment in time, similar to screenshots in a presentation. This is especially useful when you need to share a presentation with people who don't have access to the Power BI report or when you want to preserve a specific reporting period.

Open your report in the Power BI App.
Select File → Export.
Choose PDF, PowerPoint, or Excel.
For PowerPoint exports, decide whether you want a live connected report or a static snapshot.
Download and share your file.
